Terms & Conditions (Services & Digital Products)
These Terms and Conditions (“T’s and C’s”) govern the provision of Occupational Therapy (OT) services by The Bottle Aversion OT (“the Provider”) to caregivers (“the Caregiver”). By engaging with our services, you agree to be bound by these terms.
1. Service Provision
The Bottle Aversion OT provides professional occupational therapy services aimed at supporting caregivers and their babies experiencing bottle aversion/refusal. Services may include assessment, intervention, consultation, and follow-up, delivered virtually unless an in-person home visit has been agreed.
2. Appointments and Cancellations

Appointments must be booked in advance, and confirmation will be provided via email or other agreed communication channels

If you need to cancel or reschedule, please provide at least 24 hours’ notice

Cancellations with less than 24 hours’ notice may incur a cancellation fee at the providers discretion

The Provider reserves the right to reschedule appointments due to unforeseen circumstances, with as much notice as possible
3. Fees and Payment

Fees for services will be communicated prior to booking and must be paid in full by the date specified on the invoice or email. This requirement applies whether payment is made as a single upfront amount or through an instalment plan

Payments are accepted via Stripe as the standard method. In certain cases, alternative options such as PayPal invoice or direct bank transfer may be agreed in advance. All payment arrangements must be confirmed prior to booking

Late payments may result in suspension or cancellation of services until outstanding amounts are settled
4. Refunds

All payments made to The Bottle Aversion OT are non‑refundable once received. This applies to both full and instalment payments. When you book and pay for services, we begin preparing resources and planning support specifically for your child. Because this preparation starts straight away, payments are considered final. This means refunds aren’t available for missed sessions, unused appointments, or if you later change your mind

All payments are non‑refundable, the full balance remains payable even if you choose to discontinue the service

We understand that unexpected emergencies or significant life events may arise. In such circumstances, the provider will use discretion in applying a pause or considering a refund. However, these situations must be communicated and discussed directly so that an appropriate arrangement can be agreed
5. Confidentiality and Data Protection

All caregiver information is treated as confidential and managed in accordance with the Data Protection Act 2018 and GDPR

Records are stored securely and only shared with third parties with your explicit consent. The only exceptions are where disclosure is required by law, for example, safeguarding concerns, court orders, regulatory investigations, or matters of serious crime or public safety. Safeguarding concerns will be managed in accordance with UK safeguarding legislation and professional standards

For full details on how personal data is collected, stored and used, please refer to our Privacy Policy. This document is supplied to families when booking, linked at the bottom of our Linktree or purchasing a written resource and is available on request at any time.

Please avoid sending any sensitive information or details about your baby to The Bottle Aversion OT social media accounts. These platforms are not secure for clinical communication. If information is shared through social media and is intercepted or accessed by others, you acknowledge responsibility for this due to the decision to send it through an unsecured channel.

While I take appropriate steps to protect your information, no digital platform can ever be guaranteed completely secure. If sensitive information is sent through any channel and is intercepted, accessed, or compromised due to hacking or platform vulnerabilities, you acknowledge and accept responsibility for any risks associated with choosing to send information through that channel.
6. Caregiver Responsibilities

Caregivers are expected to provide full and accurate information about their child’s medical history, feeding difficulties, allergies, and any ongoing treatments

Caregivers are expected to participate actively in the therapeutic process, put strategies into practice, follow guidance, and maintain consistency between sessions. If agreed recommendations are not followed, progress may be reduced. In such cases, this will not qualify for refunds, complaints, or extra sessions

Caregivers must inform the Provider of any changes in health, medication, or circumstances that could affect therapy

Caregivers are responsible for ensuring they have a stable internet connection and appropriate technology for remote session
7. International Clients

Therapy and consultation services are provided remotely from the United Kingdom by a UK‑registered Occupational Therapist. All sessions follow UK professional standards and clinical governance

If you access services from outside the UK, you acknowledge that they are delivered under UK law and regulation. The Bottle Aversion OT is not recognised or regulated by professional bodies in other countries

It is your responsibility to ensure that participation complies with any local requirements in your country of residence
-
Services are currently unavailable to clients in the United States and Canada due to insurance limitations
8. Insurance
The Bottle Aversion OT is insured via the RCOT-brokered scheme with Aon UK and holds professional indemnity cover of up to £10 million. This cover applies to UK practice and includes international work, with specific insurance in place for services delivered to clients in the United States and Canada. The Bottle Aversion OT and the Client agree that all matters arising from these services shall be governed by the laws of England and Wales, and the courts of England and Wales shall have exclusive jurisdiction. Confirmation of cover is available on request.
9. Therapy Scope

The Bottle Aversion OT provides support to infants and caregivers, focusing on developing safe, functional, and meaningful routines and participation around feeding. Guidance is based on clinical reasoning, evidence, and best practice, and is tailored to each child’s individual needs

Sessions are educational and supportive, designed to empower caregivers to implement strategies confidently at home
-
Progress will vary depending on your child’s individual profile and the consistency with which strategies are implemented
-
Specific results or timelines cannot be guaranteed
11. Scope of ‘support’
Support includes:
-
Guidance, reassurance, and clarification related to your purchased service.
-
My support includes space for questions, reassurance, and talking through the emotional side of feeding challenges. This is not counselling, but part of the holistic support I offer to families.
-
Assessments and clinical reasoning time.
-
Review of submitted videos (Bottle Feeding Focus and Bottle Feeding Deep Dive packages only).
-
Tailored advice during booked sessions or written plans.
-
Written reports and recommendations.
Support does not include:
-
Ongoing messaging outside the agreed support window
-
Emergency or crisis response
-
Medical diagnosis or prescription
-
Support for issues unrelated to feeding or outside OT scope
-
Urgent concerns should be directed to your GP, NHS 111, or emergency services.
12. Video and Email/Messaging Support
-
Video reviews must be submitted via encrypted WhatsApp and are stored securely in Cliniko.
-
WhatsApp, Gmail and telephone support is available Monday–Friday during working hours unless agreed otherwise in advance.
-
Responses are typically provided within working hours (excluding weekends and public holidays) unless agreed otherwise in advance.
-
WhatsApp messaging support is offered only to clients enrolled in clinical pathways such as Bottle Feeding Focus and Bottle Feeding Deep Dive.

Sessions may not be recorded without explicit written permission

Clarity Email (Complementary)
The Clarity Email is a one‑off, optional space for potential clients to explore their current concerns and understand which service may best meet their needs. It is not an assessment and does not include clinical decision‑making, troubleshooting, or personalised feeding guidance.
The purpose of this email is to help the client gain clarity about their next step and to determine whether a full assessment or another service is appropriate. Any questions requiring analysis, interpretation, or tailored strategies will be directed to the appropriate paid service. No outcomes are guaranteed, and this email does not constitute clinical advice.

Advisory Emails (For new clients)
The Advisory Email is a written email response offering general guidance, reassurance, and signposting based solely on the information the client chooses to share. Although the response relates to the client’s description, it is and does not replace a full assessment. This service does not include clinical decision‑making, interpretation of videos or photos, troubleshooting, or the creation of a feeding plan.
Advisory emails cover one main question and up to two related sub‑questions. For broader support, multiple concerns, or step‑by‑step guidance, I’ll recommend full assessment and support pathway. You’re welcome to use advisory emails as often as you need. Each email covers one main question or concern, so you can get clear, focused guidance without feeling overwhelmed.
As this is a digital service delivered by email, it is non‑refundable once sent. No outcomes are guaranteed, and responsibility for implementation remains with the client. Where more detailed analysis or personalised support is required, a full assessment will be recommended.

Additional Email Support (Existing clients)
Additional Email Support provides brief, supportive check‑ins between sessions or following a programme. This service offers reassurance, clarification of previously discussed points, and light guidance to help the client stay steady while implementing agreed strategies.
This service does include new feeding plans, interpretation of videos or photos, clinical decision‑making, or analysis of a new problem that was not part of the initial assessment. It is intended only to clarify or support what has already been covered in sessions or programmes. No outcomes are guaranteed, and responsibility for implementation remains with the client.

The Bottle Aversion OT is led by Beth Charles, a fully qualified Occupational Therapist registered with:

Beth is a Specialist Occupational Therapist, trained to support infants with bottle aversion/refusal. She delivers all services in line with the professional standards and ethical frameworks established by the HCPC and RCOT.
13. Limitations and Disclaimer

All guidance and strategies are informed by professional experience, current evidence, and tailored to your child’s individual feeding needs. Parents and caregivers are responsible for applying recommendations consistently between sessions. Support offered is educational and does not replace in‑person medical, assessment or emergency care

The Bottle Aversion OT cannot be held responsible for adverse outcomes arising where information has not been disclosed, guidance is not followed, or resources are used beyond their intended purpose

While every effort is made to deliver effective OT interventions, outcomes may vary based on individual circumstances. The Provider does not guarantee specific results and is not liable for indirect or consequential losses

Remote sessions do have limitations compared to in‑person assessment. If at any point an in‑person assessment is clinically required, I will advise you to seek local support
14. Complaints and Feedback

We value your feedback and strive to resolve any concerns promptly. Complaints should be submitted in writing to the Provider

All complaints will be investigated in accordance with our complaints policy which is available on request
15. Amendments
-
The Bottle Aversion OT reserves the right to update these Terms and Conditions at any time. Caregivers will be notified of significant changes before they take effect
16. Legal Jurisdiction

These Terms and Conditionsand all services provided by The Bottle Aversion OTaregoverned by the laws of England and Wales•All services, including those delivered to clients outside the UK, are providedunder UK jurisdiction

Digital Product Terms & Conditions
For Guides, PDFs, Downloads and Other Digital Resources Provided by The Bottle Aversion OT
These Terms and Conditions apply to all digital products (“Digital Products”) purchased from The Bottle Aversion OT (“the Provider”). By purchasing or accessing any Digital Product, you agree to be bound by these terms.
1. Nature of Digital Products
Digital Products include written guides, PDFs, free downloadable resources, and any other non‑physical materials provided electronically.
These products are informational and educational and do not constitute therapy, clinical assessment, or personalised professional advice.
2. No Therapeutic Relationship
Purchasing a Digital Product does not create:

a therapeutic relationship

clinical responsibility

access to messaging support or ongoing advice

eligibility for clinical advice or intervention
If you require personalised support, a separate therapy package must be purchased.
3. Access and Delivery

Digital Products are delivered electronically, usually via email or an automatic download link.

You are responsible for ensuring you provide the correct email address at checkout.

If you experience access issues, you must contact the Provider within 7 days of purchase.
4. Refunds
Due to the instant and irrevocable nature of digital downloads:
All Digital Product sales are final and non‑refundable.
This applies even if:

you decide the product is no longer needed

you did not download or save the product

your device is incompatible
Refunds will only be considered where required by UK consumer law.
5. Personal Use Licence

No ownership rights are transferred upon purchase.

8. Technical Requirements
You are responsible for ensuring you have:

The Provider is not responsible for technical issues on your device.
9. Amendments
The Provider may update these Terms and Conditions at any time.
The version in place at the time of purchase will apply to your order.
